The Scout Deck LLC (“The Scout Deck,” “we,” “us,” or “our”) provides tools that help coaches organize game files into scouting reports, summary statistics, spray charts, and related downloads.
1. Who This Service Is For
The Scout Deck is intended only for users who are 18 years of age or older. The service is designed for coaches and other adults who have permission to upload and use the information they provide.
The Scout Deck is intended only for users in the United States.
2. Information We Collect
- Account information, such as your email address and access status
- Uploaded game files, such as Box Score files and Plays files
- Generated outputs, such as PDF scouting reports and Full Stat Workbooks
- File and usage metadata, such as file names, upload dates, processing timestamps, and download activity
- Billing and subscription information handled through Stripe
- Support communications you send to us by email
- If analytics or advertising tools are enabled, website usage information such as pages visited, referring pages, approximate location, browser and device information, and ad or campaign interactions
3. How We Use Information
- Operate the service
- Authenticate users and provide account access
- Process uploaded game files into reports and downloads
- Maintain account, billing, and subscription status
- Provide support and respond to requests
- Improve product reliability, quality checks, and troubleshooting
- Understand how visitors find and use the site
- Measure the effectiveness of advertising or promotional campaigns
- Enforce our Terms of Service and protect the service from misuse
4. Uploaded Files and Downloads
When you upload files, The Scout Deck processes them to generate reports and downloads.
- Source game files: deleted 24 hours after processing
- Generated downloads: retained for 7 days after upload finalization
- Metadata about uploaded and downloaded files: retained for as long as the account remains active, unless deletion is requested and completed
5. Backups
We may maintain backups or backup-related copies of data for security, continuity, or disaster recovery purposes. If backups exist, they may persist for a limited period after deletion requests or scheduled deletion windows, including up to 7 days if backup systems are enabled in the future.
6. Billing
Paid subscriptions are handled through Stripe. We do not store full payment card numbers on our own systems. Stripe may collect and process payment information according to its own policies and terms.
7. Sharing of Information
We do not sell your personal information.
We may share information with service providers that help us operate the service, such as providers for authentication, hosting, infrastructure, billing, email delivery, customer support, analytics, and advertising measurement.
We may also disclose information if required by law, to enforce our rights, or to protect the security and integrity of the service.
8. Cookies, Analytics, and Advertising Tools
We use or may use cookies, pixels, tags, or similar technologies to operate the site, remember basic preferences, understand how visitors use the site, and measure advertising performance.
We use or may use Google Analytics, Google Ads, or similar tools. These tools may collect information such as the pages you visit, the website or ad that referred you, your browser and device information, your IP address or approximate location, and whether you take actions such as signing in or starting checkout.
Google may use information from sites that use Google services as described at How Google uses information from sites or apps that use our services. You can control Google ad personalization through Google Ads Settings, and you can learn about the Google Analytics opt-out browser add-on.
If we enable non-essential analytics or advertising cookies, we may provide notice or choice controls where required by law or platform policy.
9. Your Responsibilities
You are responsible for ensuring that you are authorized to upload and use the files and information you provide through The Scout Deck.
You should not upload information unless you have the legal right and appropriate authority to do so.
10. Account Deletion
To delete your account, email delete@thescoutdeck.com from your account email.
We currently process deletion requests manually and aim to complete deletion within 7 days. Deletion may include removal of account data, uploaded file metadata, and other account-related records, subject to legal obligations, fraud prevention needs, and temporary backup retention.
11. Security
We use reasonable technical and organizational measures to protect information, but no method of transmission, storage, or processing is completely secure. We cannot guarantee absolute security.
12. Changes to This Policy
We may update this Privacy Policy from time to time. If we make material changes, we may update the effective date and post the revised version on the site.
